BASIC GRANT GUIDELINES

This email contains the instructions and form you can use
to apply for a BASIC ESRI grant of GIS (Geographic
Information Systems) products. It is also maintained
at www.esri.com/grant

-WHAT IS GIS?
GIS stands for geographic information system. A GIS is a
computer-based system for the storage, management,
analysis, and display of geographic and associated data.
GIS is a powerful tool designed specifically for
integrating, analyzing and mapping all types of spatial

This form is for basic GIS grants consisting of
Arcview/ArcEditor, basic extensions, basic books,
and training courses (on a space available basis)
If you need other types of grants you must obtain the
"general" form by sending a blank email to: ecpgrant@esri.com
or visit www.esri.com/ecpgrant. If you are applying for
"PLANET ACTION" grants with SPOT Satellite Imagery, you
will need the "general" form.

THIS IS A TIME-CONSUMING PROCESS! Expect to spend several
hours to weeks completing your application, and several
days to weeks for the grant review. If you need ESRI
products more quickly than that, please contact your local
sales office (www.esri.com/company)

Any non-profit or non-government organization working for
social justice, environment, indigenous rights or public
benefit in any nation, or any individual volunteering for
these types of groups, may apply for a grant. There are no
grant cycles or deadlines, you can apply any time.

You'll be asked to pay $100 minimum to cover basic product,
processing and shipping costs. For your records, the
retail value of Arcview grant is $1,500. Adding extensions
increases the retail value by $2,500 for each extension.
Courses are valued at $2,375, Books average $50 each.

If you simply need to print out basic maps of a topic or
region you are interested in you may find all you need at
one of the mapping service web sites ESRI has helped
create. These usually include a simple browser ability
that will let you zoom into and print from any of the
hundreds of national and global databases, including the
paid proprietary databases. (You can do this for free. If
you want more comprehensive access to any of the paid ESRI
databases, send an ECP grant application.)

GRANT ELIGIBILITY and APPROVAL

Applications are reviewed by a volunteer team and so your
review may take 2-6 weeks. You are welcome to contact us if
you have questions about your status. If you have carefully
followed the "*===MANDATORY APPLICATION INSTRUCTIONS" below
then you will receive several automatic confirmations that your
request was properly admitted into the reviewing process. After
that you may recieve emails from your reviewer, followed by
an approval notice. This can then be followed by emails from
ESRI shipping and licensing as any remaining issues in these
areas are resolved.

To be eligible, The best thing you can do is read and follow
the application submission instructions. Failure to do so is
the most common cause of lost or ineligible applications

You will also need to check your inbox regularly for questions
or responses from our review team. Failure to do this is the
most common cause of delays.

The primary criteria for approving a basic grant is your
commitment to spend the time needed to learn how to use it,
your financial need, and how your project will benefit
society and/or the environment.

 

HOW TO COMPLETE THE APPLICATION FORM

Instructions for each question:

*-==SPECIFIC REQUEST
*-Software request: Type 'yes' at the end of this line if
you are asking for Arcview software

*-Specific software requested: DON'T SAY "ARCGIS". If you
don't know the specific product designations you'll need to
spend time on the ESRI website researching products, versions
and minimum system speciciations. If you leave this item blank
or put "ArcGIS" or anything else non-specific, what you are
eligible for is Arcview 3 current version.

*-Hardware platform [RPLATFORM]?: Please describe the
computer you'll use, make, model, RAM and type of CPU. GIS
software comes in many different versions depending on your
computer and you need to get the right version.

*-Operating system & version [ROS]?: Please describe the
operating system and version. Most GIS software runs on
Windows 2000 or XP, but may also be available for other
versions and OS's

*- Online Access Capability [RWEB]?:
Free GIS data, tools and resources are increasing on the web.
Our program is concerned that this leaves behind a lot of people
who lack fast internet access. Your answers here help us
understand these issues and limitations.
Please enter "good" if your access is any type of broadband
such as DSL. If you have dialup access or slower, or can only
get online infrequently, please describe your situation.

*-PAYMENT: $100 (or edit & explain) [RPAY]?: $100
These grants are based on your ability to pay the basic
costs and the justification of your need. You're expected to pay
$100 minimum regardless of what you ask for. If you cannot afford
the minimum payment, please send a blank email to: ecpgrant@esri.com.
(ECP 'general' grants do not require a standard minimum payment.) or
submit specific financial justifications in the justification section.

EXTENSIONS: If you request any extensions to Arcview, please
add on $100 more for each extension requested. Please also provide
one extra paragraph of description and one extra of justification
saying why you need that specific extension capability beyond what
the basic software offers. You may request ONLY those extensions
developed by ESRI: Spatial, 3D, Network, Geostats, Arcpress, Arcscan.

status your grant will still be reviewed but your chances
of approval may be affected.

BUDGET information: Please enter your best estimates of
your last year total organizational budget, and your best
estimate of last year's total Mapping budget if any,
including hardware, software, salaries and maintenance. The
ECP actively lobbies other manufacturers and donors for
increased support to non-profit GIS and this information is
important.

though you can get software and training almost free, it
will still cost you a lot of time and effort, do you think

for that current or alternate version of the title and include

*-==COURSE/WEB PRE-REGISTRATION [CPREREG]?:

You MUST complete the "Course Pre-registration" if you
want to be considered for any kind of training grant.
Training grants are for tuition waivers ONLY. You must
still pay for your own travel and accommodation.

ESRI offers year-round training in over a dozen different
GIS topics. Most of these are five-day courses taught
monthly in Redlands and less frequently at our regional
offices. Current Course Schedules and guidelines can be
seen at: http://www.esri.com/training/index.html, or you
may contact the ESRI Learning Center directly at 909-793-
2853 x1585.

Live Training grants are available ONLY within the USA,
ONLY at one of the ESRI Corporate Offices (For a list, see:
http://www.esri.com/company/contactusa.html). WE CANNOT
GRANT courses taught by "certified trainers" from other
companies, on-site training, or training outside the USA.
If you live outside the USA you will need to come to the
USA to take your live training.

Live Training is only offered on a SPACE-AVAILABLE basis.
Once you apply for a course grant you are placed on a
"standby" list and do not have a confirmed seat. 10 days
before the class starts, you MUST call the ESRI learning
center at (909) 793-2853 x1585. If there is space available
in that class you will then be granted a confirmed seat
over the phone.

The alternative Web-based training grant is for a pass
code which will allow you into the ESRI Virtual Campus
(http://campus.esri.com) for a 6-month period in which you
can take one course, moderated by a live ESRI trainer.
There are many different courses and the passes are
specific to one course and one person, so you have to
specifically list which course you want and the student's
name. All of the courses have a free "test-drive" module
and you are encouraged to try them out before requesting a
free pass to the whole course. Please also note that you
may only request a pass to an entire course, we do not
grant passes to the individual modules and lectures. You
are expected to complete the entire course.

CLASS SCHEDULE CHANGES AND CANCELLATIONS:
Though the class schedule rarely changes, we sometimes
find it necessary to change the dates on which a class is
offered, or to cancel a class. We contact registrants at
our earliest opportunity in the event of a scheduling
change or cancellation. TRAVEL:
Transportation to the training site is the registrants
responsibility. ESRI assumes no responsibility for
nonrefundable travel arrangement losses resulting from
course scheduling changes or cancellations. LODGING:
Registrants are provided a class location map and list of
area hotels. Registrants make their own lodging
arrangements. COURSE MATERIALS: All course materials are
provided at the training site. RECOMMENDED ATTIRE:
Casual dress is suggested.

 

*- ESRI USA Conference Passes [RPASS]?:

ESRI, the ESRI Conservation Program, and the Society for
Conservation GIS collaborate on annual international
conferences in Southern California each summer. The ESRI
conference is the largest GIS conference in the world,
attracting 15,000 users and offering workshops, specialized
training, user group meetings and many other unique and
valuable opportunities. This form can be used to apply for
ESRI conference passes only, beginning in February of each year.

The ESRI Annual User Conference costs $1300 to attend
but ECP grantees may attend for only $100 by filling out
this section of the form. There is a conference-wide party
on thursday night which you can attend at a subsidized
charge of $50 but you must say so on this form and make
sure your total conference fees are $150. If you cannot
afford anything apply anyway but please explain your
circumstances and be sure to sign up for volunteer tasks.

If you are on a per diem and can afford a larger
contribution please note that your payment of greater than
$100 (or >$150 with party fee) will directly help us extend
conference passes to more nonprofit, tribal and
international applicants."

In exchange for a pass, We ask that each person devote some
time to volunteer "conference tasks" in the huge Conservation
Hall where hundreds of other Conservation GIS users and Society
Members will be gathered to help us in various tasks and
duties, such as giving a presentation or paper, helping
teach a children's workshop, helping set up some exhibits.

FORM INSTRUCTIONS: Please first type in the number of
passes you are asking for. After that, please specify the
names of the persons who are applying for passes and after
each name please specify how much you can afford to offer
for your pass.

After you have entered the number of passes and names,
please fill out the "Conference Tasks" section below. Your
ability to volunteer for ECP booth duties and/or give
presentations on your work are an important part of
reviewing your grant request.

The ESRI and SCGIS conference dates are usually in July,
and are posted on the respective web sites (www.esri.com,
www.scgis.org). If applying for a conference pass, please
review the list of tasks below and cut/paste in the ones
you can do into this section of the application form. If
you are interested but not yet sure what time you'll be
free to help, or want to know more about it, paste it in
anyway since this isn't a strict commitment and we will
contact you in May and June to organize the tasks. You will
be sharing most tasks with 5-10 other people so it's a
great way to socialize.

CONFERENCE PAYMENT INSTRUCTIONS: If you want to pay for

submitting this email and receiving back confirmation that
your request was ok'd, you then go to the ESRI Conference
Web Site, www.esri.com and click on "ESRI User Conference"
then on "Register online" Select "Complimentary" as your
Type of Registration, and if you don't have a customer
number just type in "999999" and go to the next page. If
you asked for and got a no charge pass you check
"complimentary" again, otherwise this is a secure web site,
you can safely enter your credit card number, PO number, or
check number and you will be billed for the amount you
listed in your request, no matter what it says at the top
of the page for "amount due".

EXPORT LAWS COMPLIANCE
You may NOT obtain grants or send software to any country
which has USA export restrictions, regardless of where your
offices are. This includes any country to which the United
States has embargoed goods, any person on the U.S. Treasury
Department's list of Specially Designated Nationals, any
person or entity on the U.S. Commerce Department's Table of
Denial Orders and any person or entity where such export,
reexport, or provision violates any U.S. export law. (For

HOW TO SUBMIT THIS APPLICATION

This is a machine-readable form that will be used to
review, process and ship your grant request. This form is
for email submission only as directed below. There is no
other way to submit grant requests in this program.

To complete this form, Please type in your answer at the
end of each and every question, AFTER the colon (?:) You
can type as much text as you want and add or paste in as
many lines as you want between the colon (:) and the * at
the beginning of the next line.

Please do not erase any of the questions. Please DO NOT
erase the (?:) marker at the end of the question.

Make sure your completed form is in plain ASCII text
format. You can do this by editing the form in a plain
ascii text editor like "notepad", or if using a word
processing program like MS-Word, be sure to save your file
out in a "text only with line breaks" format. DO NOT just
edit your email and reply back because in most cases this
sends your grant form in an HTML format which cannot be accepted.

For spam filter reasons, you may NOT send your grant form
as an attachement, it must be the main body of your email
in plain ASCII text. However, any compliant grant email

Except for mentors and as noted, each grant form applies to
just one grant/install location. To apply for a several grant
locations you'll need to send additional grant forms, one for
each location.

IMPORTANT! MANDATORY SUBJECT LINE PROTOCOL:
For spam filter reasons there is a specific formal subject
line rule described below. Failure to use the defined subject
line will risk your email being delayed or deleted without reply.

For the subject of your email, first type in the "#" or
"pound sign" (above "3" on many keyboards). Then your
organization's name immediately after, then a comma,
then space, then state and/or country, then a comma & space,
then the date, then a comma & space, then the grant "@" tags
summarizing what you are requesting i.e.

"#Rainforest Network, Canada, Nov 13 1997, @basic"

GRANT @ TAGS: These are at the end of the subject line and
ensure your request is processed correctly. We also
use them to route your request thru ESRI order entry so if
you get emails from us with additional tags, don't worry.

GRANT TYPE TAG: first specify all the things you are asking for.
Please include at least one of the following tags, you can include
serveral tags if you are asking for several things. If you include
tags for items you are not asking for it will delay your grant.
IMPORTANT EXCEPTION: You may NOT ask for BOTH @basic and @advanced.
Any advanced grant may include as many basic items as you want so
if you are asking at the advanced level please don't also list @basic.

"@basic" If you are applying for a basic conservation grant
such as ArcView, ArcEditor and their extensions
"@conference" if your request includes ESRI Conference passes
"@class" if your request includes ESRI Live Classroom Training
"@virtual" if your request includes ESRI Virtual Campus online training

"@intl" REQUIRED if your grant is outside the USA

If you don't use any of the @ tags, your request will still be received,
but it will take a little longer and the initial assumption will be that
you just want Arcview.

GRANT PROGRAM TAG: Our reviewers are split into many different specialties
to serve specific user communities. If your main preference is to be
reviewed within one of the following grant communities please specify
that program. If you specify no program you will be reviewed under the
general ESRI Conservation Program guidelines

"@indigenous" For all indigenous, native and first nations groups
"@public" For all non-conservation public servic grant requests

This US domestic public service group just wants a couple of ESRI
Conference Passes. they do not have to cc to an ESRI international
distributor.

 

#George Robertson, BC Canada, Feb 4 2006, @indigenous @conference @intl

This indigenous individual wants Arcview for a local project and
wants a pass to the ESRI conference. He lives outside the USA and
he must also cc to the ESRI Canada distributor in order for grant
review to begin.

#International Karst Program, Sri Lanka, Aug 15 2007, @basic @cavekarst @intl @mentor

This global cave conservation group based in USA is applying for
5 copies of Arcview for their colleagues and partners in Sri Lanka
They must also cc to the ESRI Bolivia distributor with the special
"Mentor" notice at the top in order for grant review to begin.

 

HOW TO SUBMIT YOUR APPLICATION:

To submit this form, email it to: ecp@esri.com

International Applicants must cc an additional copy to
the ESRI International Distributor for your country. ESRI's
International distributors are listed on our web site at:
http://andes.esri.com/intldist/contactint.cfm )

You MUST ensure that you have deleted all of these instructions
as requested at the top of the form, have followed the specific subject
line rules above.

Unless specifically requested, please do not cc your initial
application submission directly to grant reviewers as it may
confuse and delay your review.

Please keep a copy of your email.
If you have any questions after submitting your request or
want to know grant status, resubmit using the same subject line
and just ask your question at the very top.

 

AFTER YOU SUBMIT YOUR EMAIL:
When your email is succesfully sent, you should quickly receive
one or more automatic confirmation emails depending upon your
request and what "@" tags you included. Some of these may be
warnings that you made some mistake in the subject line but these
are typically minor errors. If you recieve NO autoreplies then
something more serious is wrong and you'll need to re-try. ESRI
email servers have very agressive domain blocking that may forbid
your email from coming in, so always try another email address if
you can or a free yahoo or gmail address. If you have problems you
can also try to send a short query to ecp2 at esri dot com. We
maintain an alternate address as backup but we don't check
it often unless someone tells us they need to use it. This
alternate address is "CONSMAP" on gmail.

When your request is approved you will
get a copy of your original request with the approval. Shipping
can then take 1-4 weeks depending upon subsequent licensing
issues and questions. All ESRI software is shipped as standard
media kits that contain all our software. There is a post-shipment
licensing and registration process that formally activates
what you got in your grant. Some licensing is annual and
has to be renewed, some is permanent, they all require different
forms and procedures prior to installing so make sure you allow
time for that in your installation planning.

After your grant is approved, watch for the critical license
file email from ESRI. It will arrive a week or 2 after your
grant ships and it will contain the activation codes needed
to unlock your software installation so it will actually run!
Please remember save that license file to an offline storage
so you can reinstall in case of computer problems.

If your request is granted, information about your grant
may be posted on the ESRI Conservation Program (ECP) web
site at www.conservationgis.org.

The existence of this grant program is thanks to the
thousands of grantees before you who were kind enough to
share their maps, reports, letters, stories, photos &
clippings with ESRI as they developed their GIS and map
programs. Anything you'd like to share with us as you
progress will help keep our grant program going for those
who will need it in the future.
